Welcome Stafford Layne!

Opus Integrated Business Systems welcomes Stafford Layne to the team! Based out of the Lawrenceville, GA, office, Stafford brings account management expertise to our firm. Formerly with a computer software company, Stafford’s transition to Opus is a logical one as Opus continues to grow. Stafford says, “Opus is an innovator—building new tools that our customers need, and helping businesses identify and implement existing technologies for business and resource management. Improved Dispatch Board To Help Make Better Tech Scheduling Decisions

Service scheduling and technician assignments can now be handled easily in a drag/drop scheduler board that runs in a web browser.  This powerful browser-based service scheduler is targeted to dispatchers and service managers and provides you with the following benefits:

  • Keyboard navigate - you can use the left/right arrow keys to navigate between days, weeks, months, years
  • Tooltip when hover over event - popup tooltip appears when mouse is over an event in all views - shows much more data without the need to zoom
  • Editable list view within scheduler - New "List" view that shows S/Os in a list - option to edit via lightbox
  • Added years view - shows all days of year in single view - popup is a list of S/Os for the day
  • Added all comments lines to data sent to scheduler (appears in tooltip) - all entered comments are now sent via NLSOSCHD (as a single XML field) so they can be displayed in the scheduler tooltip
  • Displays first 10 techs with arrow to scroll to the next 5 techs instead of displaying all techs in one view (with a large # of techs this was unusable).
  • Include inactive techs if they are assigned to a service order
  • Inclde "Other?" to list technicians that are assigned to service orders if the technician would not normally appear on the scheduler board.
  • Added full serivce order comments to xml file and tooktip display

  • No setup is required after the portal is loaded.  The portal will work with your existing service order data.

Order Picking and Shipments via Handheld Devices

Your order processing people and warehouse workers can now scan, record, and review the items they pick and ship for orders via any browser-based handheld device. As they process each picking ticket they can scan or enter the items to update SouthWare’s Picking/Shipping subsystem (IS-01-02-03). This provides a streamlined way to record the items handled for the picking ticket and to increase the accuracy of shipments. Information is updated instantly on your system so billing and status info is always up-to-date.

The Order Picking/Shipping feature is packaged as a NetLink-enabled application. The handheld-oriented browser pages provide the following standard functions:

  • Operator login (internal requestor must have a default inventory operator)
  • Option to specify to do staging or shipping if choice is applicable
  • Scan/enter a Ticket number
  • Scan/enter each item needed for a ticket:
    • Enter quantity (or use scan mode to auto-default to quantity “1")
    • Scan/enter tracking number if applicable
      • And tracking quantity if not serialized
  • Option to undo/cancel the item just scanned (to correct errors)
  • Review list to see the status of all items on a ticket
    • Option to Clear pick/ship quantities for any item (to correct errors)
  • Shipping Address info - displays address, PO, and shipping method
  • Ticket Done function - verifies that all items have been recorded
  • Optional logging of operator entry errors and processing statistics
  • Logoff function - to free up terminal seat

Other functions may be available or added to allow additional capabilities based on company policy. The default assumption is that the operator has a printed picking ticket and is scanning the ticket and items in via a browser-based handheld unit with a scanner. Other functions may be optionally added via customization of the pages.

 

Implementation Notes:

  • To use this feature you must have:
    • A properly set up NetLink for use with external browsers (via a web server such as Apache)
    • An internal license seat available for each operator
  • The setup/implementation process is outlined and automated as explained in the "Setup" tab of the Order Picking/Shipping via Handheld Administrator portal (NetLink request of "wihhordshpadmin").

With the Collections Live Portal you can quickly identify the customers that need collection attention based on alerts, scheduled calls, past due commitments, past due balances, etc. You can then zoom to the Customer Collection Portal to research and record your collection followup efforts.

The Collections Live Portal is designed for use within the SouthWare web browser so that you can utilize all the related functionality of SouthWare. You get access to the following standard functions:

  • Multiple lists of customers based on various collection-related factors
    • The list stays active as you zoom to customers so you can simply work down the list
  • Customer Collection Portal view which includes:
    • Customer address/contact info
    • Current account status
    • Info from last collection call
  • One click options to:
    • E-mail a statement
    • E-mail selected past due or current invoices
    • Change customer credit limit/rating
    • E-mail an aging report
    • Access payment entry to accept credit card or other payment
  • Detail interactive views/entry for the customer info:
    • Open items - the list highlights past due items - you can record a payment commit date along with notes for each open item
    • Open collection alerts - you can enter a review comment for each alert
    • Adding a task - you can record your call notes in seconds - you can also create tasks for other operators for followup actions
    • Collection Tasks - you can review all past collection tasks for the customer
    • Recent Activity - you can view the activity list to see a chronological recap of recent customer activity such as orders, payments, tasks, etc.

 

Implementation Notes:

1.      Install

Install the NetLink requests and related formats into SouthWare and the related templates into your nlhtml directory.  The requests and related formats are automatically installed as part of the update process after loading the current updates.

2.      Configure Reason Code

Specify the configuration parameters that may need to be modified to match your data - these are explained in the column to the right of this page

3.      Test and Train

Show each collection operator how to use the features of the Collections Portal.  The "Documentation" tab provides instructions on the major functions.

NOTE: We contacted the IRS and were told that the E-Send File would not be rejected if the new positions were not zero filled.  SouthWare highly recommends that you go ahead and update your customers to REV15 and load updates through today prior to building the workfile if you will be submitting your W2’s electronically.
